Credit and reverse a purchase order
Do you want to undo a purchase order? Follow these steps.
- 1
In the menu, click 'Purchase orders' (under Purchasing).
- 2
Find the relevant purchase order.
- 3
Click 'View' next to the relevant purchase order.
- 4
Click the button with 3 dots at the top.
- 5
Select the 'Refund' option
- 6
The purchase order has now been reversed.
The status has now changed to 'Refund'.
Please note
Is it not possible to click the Refund button? Then check if the status of the purchase order is set to 'Completed'. Otherwise, this purchase order has not yet been booked in and crediting is not possible. The stock has probably not yet been added, and you can manually change the status of the purchase order to Cancelled. The purchase order will then also disappear from the Purchase orders overview by default.
Create a credit note via a new purchase order
You can also manually create a credit note for a purchase order. You do this by creating a new purchase order and receiving the products with a negative quantity.
- 1
Create a new purchase order
Create a new purchase order for the relevant supplier. You do not need to select an existing order.
- 2
Add the products to be credited
Add the products you want to return or for which you are seeking a credit to the purchase order.
- 3
Receive with a negative quantity
For the products you are crediting, enter a negative quantity, for example '-1' instead of 1.
- 4
Process the order
Process the purchase order by completing it. The negative receipt will now be processed as a credit, which updates the stock and purchase value.
