Purchase order based on minimum stock and sales

It is possible to generate a purchase order based on minimum stock and sales over a specific period.

Tip

Please note: this order list does not show ordered products that have not yet been put into stock. Therefore, check purchase orders with the status 'In Progress', 'Inspection', and 'Backorder'. If the order has been partially booked, the products that have not yet been booked will not appear on the list. Orders with the status 'New', 'Completed', or 'Cancelled' will be included.

Setting minimum stock per product

1. In the menu, click 'Assortment'

2. Search for the specific product and click 'View'

3. Under 'Minimum', enter the minimum quantity you wish to have in stock.

4. In the first column, also check if the product is linked to the (correct) supplier.

5. Then, on the right side, click the 'Save' button.

Instead of opening the product, you can also click the 'Magnifying glass icon' before the 'View' button. Then click the 'Set as minimum stock' button. The change will be saved when you close the window.

Adding minimum stock and sold products to an order

But how is the product added to a purchase order?

1. In the menu, click 'Suppliers'

2. Click 'View' next to the relevant supplier

3. On the right side, click the 'Purchase wizard' button

4. By default, products with a difference between current and minimum stock are shown immediately.

Here, the 'minimum quantity' and 'quantity to order' can be adjusted directly per product.

A product can also be removed from the order list (if the page is refreshed, it will be shown again).

5. Below you will see a new category. If 'Sales list' is green, you will see the sold products below.

Using the blue filter icon, you can filter by, for example, a specific period.

By clicking on the 'Quantity' column, you can sort by best-selling.

6. Select the products you also want to add to the purchase order by clicking the box under 'Choose'. The product will then be immediately added to the list above (with the minimum stock products).

By selecting the 'Advice' or 'Wishlist' button instead of the 'Sales list', you will see more recommended products that you can order.

7. Have you added the minimum stock and sold products to the order? Click the 'Create' button in the top right of the page.

The purchase order will now be created. You can manually add more products that are not on the lists.

Do you want to send the order to the supplier?

8. In the top right, set the status of the Purchase Order to 'In Progress'.

9. Click the 'Send email' button.

10. A new screen will appear. If necessary, change the email address and the text.

11. At the bottom, click the 'Send email' button.

Success! The purchase order is now also visible via the 'Purchase Orders' menu.
