Create purchase order and book in products

Create purchase order

1. In the menu, click 'Purchase Orders'.

2. Click 'New'.

3. Search for and select the desired supplier or click the 'None/internal' button if you want to add products you make yourself.

It is important that the supplier is also added to the brand in the shop settings so that you can find the products.

Add products

4. Type the product number or scan the EAN number in the appropriate search field.

5. Press Enter or click the search icon to start the search.

Tip

Explanation of the results (screenshot below)

Number 1: Click this green button if you want to create your own product with the product number you entered in the search field.

Number 2: This shows the products you have (had) in stock for this product number. Click the 'Use same article no.' button for the correct product if you see it. With the 'duplicate icon' you can use the same product information and, for example, create a different variant.

Number 3: This shows the products from the brand's central database. If the product is not listed under (2)? Then click on the correct product if you see it here.

Is the product number you are looking for not yet in the database? Then click the green button.

6. Click on the option / article you want to add.

7. A new window will open. Select the correct article group. (Do you want to create a new article group? In the menu on the left, click 'Article Groups'.)

8. Enter the received (and ordered) quantity.

9. Enter the selling price.

10. Enter the purchase price.

It is also possible to fill in the other details, but this can also be done later.

11. Click the 'Save' button.

Modify products after adding

After saving (step 11), the product has been added as a line item.

  • Click the 'eye' icon to reopen the product to modify it.
  • After making changes, click 'Save' again.

Delete products after adding

  • Click the 'trash can' icon to remove the product from the purchase order.

Above the products, click the 'Show deleted products' switch to display the deleted products.

By clicking the 'undo' icon, the product will be added back to the purchase order.

Don't forget to re-add the quantity of the product.

Book additional discounts and costs

It is also possible to book early payment discounts or additional costs on the purchase order.

  • Scroll to the bottom section of the purchase order.
  • Enter the desired amounts.

  • Click the green button 'Apply early payment discount to each record'.

Add serial number

Do you want to give each product a unique serial number?

  • Click the 'Serial Number' button after a product has been added to the purchase order. You can click as many times as the 'ordered quantity' of the product.

  • Enter the serial number in the field.

  • Click the 'Save' button after the serial numbers have been added. You can then edit them again.

Book in products and increase stock

After increasing the stock, the purchase order cannot be modified anymore.

12. All products booked in? Optionally, check the prices and quantities on the purchase order.

13. Click the 'Book In' button at the top and click the 'Increase stock' option.

This purchase order then has the status 'Completed' and can no longer be modified. Create a credit note and a new purchase order to make stock changes.

14. Click the 'Print' button at the top to print the labels for all products on the purchase order.

By clicking the print button next to the specific product, one label can be printed.

A new window appears.

15. Optionally adjust the quantity and select the desired label layout.

16. Click the green 'Print' button.
